SALARY                     £23,000 pro rata

HOURS                       Part-time 30 hours (flexible arrangements possible)

ACG is a not-for-profit trade association.  Since 1980, we have been working on behalf of our members in the fight against counterfeiting. ACG is involved in a number of areas including campaigning on behalf of its members, driving more effective intelligence-led enforcement, raising awareness of counterfeiting and providing a networking and learning environment for ACG members and enforcement colleagues.

The Role
You will play a key part in the day to day administration and support in a small, but busy trade association office. 

Responsibilities will include:
- Ensuring general queries and correspondence are dealt with promptly and efficiently
- Create and maintain accurate and comprehensive records on database
- Liaising between members, and other agencies, organisations or groups
- Event bookings administration
- Minute taking

Required Skills & Experience:
- Microsoft Office and general computer skills essential
- The ability to be proactive, flexible, responsive and work under pressure
- Some experience of working in a busy office environment preferable
- Have a good level of education (GCSE English & Maths or equivalent)
- A full, clean driving licence with own transport (a mileage allowance will be paid should you need to use your car to attend ACG events/meetings)

1. Information management

1.1 Co-ordinate and regularly update all information received at the Secretariat via e-mail, post and reports from members and other ACG staff and contacts: 

  • distribute incoming e-mails to relevant ACG staff  
  • maintain database via data entry for all contacts
  • circulate printed & electronic information to members and enforcement agencies under direction of Director General/Communications and Events Manager and keep central record of circulars sent
  • update existing records and data selections for mailings and reports

1.2 Maintain membership records and ACG internal committees:

  • update, maintain and archive paper and electronic files for Register of Members

1.3 Maintain/update ACG address book for group email circulation

2. Invoicing  

2.1 Use Database to manage Membership invoices and one off invoices, process credit card payments, and deal with day to day general invoice queries
2.2 Obtain approval of invoices, under direction of Director General/Communications and Events Manager
2.3 Produce & send monthly statements to outstanding debtors including follow up correspondence and phone calls

3.  Enforcement agency support:

3.1 Day to day responsibility for responding to telephone/email enquiries from enforcement agencies
3.2 Manage the provision of promotional materials, including stock control

4. ACG Meetings & Events

4.1 Email invites and information to potential delegates & confirm bookings on the database
4.2 Administration of delegates/attendees and lists thereof including creation of badges
4.3 Attend ACG conferences & events when required to assist with registration

5. Meetings 

5.1 Set up meeting on database, add all attendees and provide final lists for the host
5.2 Create distribution lists for the various ACG committees, meetings, associated groups and membership categories

General duties:

  • Answer the telephone and deal with day to day enquiries, particularly requests for information from ACG members or enforcement officers
  • To assist Information Systems Manager with website enquiries from Enforcement Officers and other stakeholders
  • Responsible for opening post & circulating appropriately
  • Liaise with couriers and over-night parcel delivery companies
  • Photocopying, mailings and membership reports (generated from the database) as and when required
  • With other staff: Provide office support including hospitality, banking and purchasing supplies when necessary
